These Terms & Conditions apply to all consultations, treatments, products, and services provided by Exthetics Ltd. By booking an appointment, attending the clinic, or purchasing a service or product, you confirm that you have read, understood, and agreed to these Terms & Conditions.
These Terms should be read alongside our Privacy Policy, Complaints Policy, and (where applicable) Monthly Membership Terms & Conditions.
1. Consultations and Fees
All consultations at Exthetics are charged at £50.
- The consultation fee is payable at the time of booking.
- If you proceed with treatment, the £50 consultation fee is fully redeemable against the cost of that treatment.
- If you decide not to proceed with treatment following the consultation, the consultation fee covers the time, assessment, and clinical expertise provided and is non-refundable, subject to the cancellation policy below.
Each consultation includes assessment, discussion of suitability, treatment planning, and clinical advice.
2. Medical History and Pre-Treatment Screening
- Patients are required to complete a medical history and health questionnaire online prior to attending the clinic.
- This allows clinical suitability to be assessed in advance and may prevent unnecessary clinic visits where treatment would be contraindicated.
- Patients who are unable or prefer not to complete the medical history online may do so in clinic.
Exthetics reserves the right to postpone or decline appointments where the medical history indicates treatment would not be appropriate.
3. Telephone and Virtual Consultations
- Telephone or virtual consultations are not provided for anti-wrinkle or injectable treatments.
- Remote consultations may be offered only for prescription skincare, where clinically appropriate.
4. Appointments
- Accurate contact details (address, telephone number, and email address) must be provided at the time of booking.
- Appointments are reserved specifically for you and cannot be attended earlier than the scheduled time.
- There is currently no waiting area at the clinic.
- Appointment reminders are issued approximately 48 hours before your appointment by text or email.
5. Illness, Medication, and Fitness for Treatment
Treatment will not be carried out if a patient is unwell or otherwise unsuitable for treatment.
This includes, but is not limited to:
- Viral or bacterial illness
- Active infections
- Cold sores or localised skin infections
For safety reasons, treatment will also not be carried out if:
- You are currently taking oral or intravenous antibiotics, or
- You have received a vaccination within the previous 14 days.
If you are unsure whether this applies to you, please contact the clinic prior to your appointment. Appointments postponed for clinical safety reasons will be managed on a case-by-case basis.
6. Clinical Decision-Making
- All treatments are subject to clinical assessment.
- Exthetics reserves the right to decline, postpone, or stop treatment at any stage where it is not clinically appropriate, safe, or in the patient’s best interests.
- Clinical judgement will always take priority over patient preference.
7. Attendance at the Clinic
- Pets are not permitted on the clinic premises.
- Children are not permitted in treatment rooms unless they are old enough to be left unsupervised.
- Due to limited space, patients are advised to attend appointments alone.
- If a patient chooses to bring a friend or relative, they acknowledge that discussing medical information in their presence may compromise confidentiality. Responsibility for this does not lie with the practitioner.
8. Late Arrivals
- Patients should notify the clinic if they anticipate being delayed.
- Arrivals more than 15 minutes late may need to be rescheduled and may be subject to the cancellation policy.
9. Cancellations, Rescheduling, and Non-Attendance
- A minimum of 48 hours’ notice is required to cancel or reschedule an appointment.
- Appointments cancelled or rescheduled with less than 48 hours’ notice will result in loss of the consultation fee or deposit.
- Failure to attend an appointment without notice will result in loss of the consultation fee or deposit, and a new fee will be required to secure future bookings.
10. Age Policy
- Prescription skincare consultations may be offered to individuals under 18 only with parental supervision.
- Injectable treatments may be offered to individuals under 25 only where there is a clear clinical need, following full assessment and appropriate consent.
- Proof of age may be requested.
11. Photography and Medical Records
- Clinical photographs are mandatory and form part of the medical record.
- No treatment will be carried out without appropriate clinical photographs being taken.
- Photographs are used for assessment, treatment planning, and monitoring outcomes.
- All records are stored securely in line with UK data protection legislation and professional standards.
12. Payment and Refunds
- Consultation fees and deposits are payable at the time of booking.
- Payment for treatment is due in full on the day of treatment.
- Payments may be made by cash or major debit/credit cards.
- Treatment fees cover the full service provided, including consultation, assessment, treatment, aftercare advice, and follow-up where appropriate.
- Specific results cannot be guaranteed, and refunds are not provided based solely on dissatisfaction with outcome.
13. Gift Vouchers
- Gift vouchers are non-refundable and cannot be exchanged for cash.
- Gift vouchers are non-transferable and may only be used by the named recipient.
- Gift vouchers have an expiry date stated at the time of purchase and cannot be redeemed after expiry.
- Lost, stolen, or damaged vouchers cannot be replaced.
- Redemption of a gift voucher remains subject to clinical suitability and the clinic’s cancellation policy.
14. Patient Referral Scheme
- Both the referrer and the referred individual will receive £25 off their next treatment.
- The discount applies only once the referred individual has completed their first treatment.
- Discounts are non-transferable and cannot be exchanged for cash.
- The referrer’s name may be disclosed to apply the referral discount. No medical or treatment information will be shared.
15. Complaints and Feedback
- Patients are encouraged to raise concerns promptly.
- Complaints are managed in line with the clinic’s Complaints Policy, available on request.
- Where a complaint cannot be resolved internally, it may be referred to an independent Alternative Dispute Resolution (ADR) service.
- Feedback, both positive and constructive, is welcomed and used to improve services.
